This guide explains how to quickly log tours and tour outcomes using the automated emails you’ll receive from HubSpot. The goal is to make sure every tour gets tracked — without extra manual work.
When You’ll Get a Tour Email
When a deal reaches a stage where a tour should have happened but none is logged, you’ll automatically get an email asking you to log the tour.
Step 1: Log a Tour

Open the email you receive from HubSpot.

Click one of the links (for example, “This Week” or “Today”).

A page will open asking which locations you toured with the lead.

Select all locations that apply and click Submit.

You’ll see a confirmation message — that’s it!
-HubSpot will automatically create one “Tour” record for each location you selected.
-The system assigns a date based on the link you clicked (for example, “This Week”). Don’t worry about exact dates — what matters most is that all tours are logged.
Step 2: Log the Tour Outcome

The day after your tour’s date, you’ll receive another email asking for the tour outcome.

Each option in that email is a button — just click the one that fits.

For example: “Lead was not interested,” “Hasn’t happened yet,” or “Reassign this tour.”

When you click, a short page opens and automatically submits your choice. No need to press anything else.
Special Options

Tour hasn’t happened yet → pushes the tour date out by a week and you’ll get a new outcome email later.

Reassign this tour → opens a page where you can enter the name or email of the person who actually led the tour. They’ll then get the outcome email instead.
Quick Recap

You’ll get an email asking you to log the tour → pick the locations and submit.

The next day, you’ll get an email to log the outcome → click the right option and you’re done.
Troubleshooting

Didn’t get a tour email? The deal may not be in a stage that expects a tour yet.

Accidentally picked the wrong outcome? Let your Regional Manager or Studio Support know so they can adjust it.

Tour rescheduled? Choose “Hasn’t happened yet” to automatically move it forward.
